The Anti Spam Challenge – Minimizing False Positives

Email is the quintessential business communication tool, so when it doesn’t work like it’s supposed to, business suffers. Anti spam software is designed to protect your inbox from unwanted messages, but unless your system is properly trained even the best software misses the mark and flags legitimate messages as spam. These messages are referred to as “false positives.”

While consumer and ISP anti spam products focus on blocking messages and even consider some false positives acceptable, businesses require anti spam solutions that treat their messages as very valuable. Failing to receive critical messages in a timely fashion can do irreparable damage to customer and partner relationships and cause important orders to be missed, so eliminating false positives while maintaining high anti spam accuracy is paramount to any enterprise anti spam solution.

What causes false positives?
Different anti spam solutions utilize different methods of detecting and blocking spam. Anti spam software typically uses content filtering or Bayesian Logic, an advanced content filtering method, to score each email, looking for certain tell-tale signs of spammer habits such as frequently used terms like “Viagra” or “click here.” Other anti spam solutions reference blacklists and whitelists to determine whether the sender has shown spammer tendencies in the past. If not, the likelihood of their message getting past the email gateway just went up, and the chances of a false positive declined accordingly. If they have, an effective reputation system knows and flags the message.

In order to be most effective, anti spam solutions must learn based on a recipient’s preferences. While most of us prefer not to receive emails containing the term Viagra, some medical organizations might need to receive these emails in order to process patient data. In order to best learn your organizational preferences, anti spam solutions should put filtered emails into a quarantine that allows users to review and make decisions as to whether a particular message is spam. Making this quarantine available to the end-user lowers the administration costs and increases the accuracy of the anti spam system.

Each time a user makes a decision about whether a particular email is or is not spam, the system becomes more personalized and intelligent about filtering email for that individual in the future. Over time, users find that they rarely need to review their quarantines anymore because the system has learned how to identify messages that are important to that user.

Don’t throw the baby out with the bathwater
In conclusion, it is imperative that false positives be kept to an absolute minimum for business users. Although consumers may have more patience with incorrectly blocked email, businesses cannot afford these types of problems. An effective, accurate anti spam solution aggregates multiple spam detection technologies, combining the benefits of each individual technique to stop spam while minimizing false positives. It also puts suspected spam into a quarantine that is available to end-users, and learns how to better identify spam in the future.

How To Tighten Up Your Email Security

These days email is a necessary part of communication. However, this also means that email is one of the most popular ways for a virus to infect your computer. You need to protect yourself from the threat of fraud and infection.

Viruses

Email attachments often contain viruses so you need to be careful whenever you open any type of attachment even if you know the sender. There are some viruses that can infiltrate your address book and then send email that is infected to everyone on your list. This means that you can get a virus from a colleague or a friend. The best thing to do is to communicate with the sender so that you know you are expecting an attachment.

Software for virus protection is your best bet against viruses. This software will scan all your email attachments when they are received on your computer. All computers that have Internet access will need to have antivirus software so that all systems are protected as one big whole. There are some viruses that will start with one computer system and then spread to the rest of the network, eventually encompassing all the hardware that is needed to access the Internet.

Phishing

Email can lead to fraud, which is yet another type of security risk. Phishing, is one type of fraud that will try to trick you into giving out personal passwords or banking information. Phishing provides a link that looks as though it is legitimate but that in fact will lead you to a false website. If you provide them with personal information you become a victim of theft or fraud on your credit card. This is also known as "identity theft".

Email content and subject lines can be your clue to phishing. Instead of using your name the subject line might say something like "To our valued customer". It isn't hard to find some variant for personal names so be on the alert.

Less of clue to phishing is when a link is included that has nothing to do with the text in the email. You can verify this by highlighting the link and paying attention to the status bar. For example, if the email text is something about Microsoft, and the URL is www.nowhereland.com, you have a good clue that the message you've received isn't really from Microsoft.

There is software that can detect whether phishing is occurring. Even though this software isn't fully mature yet it can at least identify if an email is fraud. Whenever you are asked for your credit card number or a password you should be suspicious. Always keep in mind that no legitimate banking institution will ask you to give personal information or to verify any passwords in the content of an email.

E-mail Backups

Your email, just like other data on your computer, should always be backed up. Most email programs will be easy to back up. All you need to do is export your email messages to a selected folder and then do a backup on this folder. You can use a backup program and put your email onto a writeable CD, DVD, removable disk, or any other type of media.

You also have the option of buying backup software that is specialized for backing up email. This software is moderately priced and eliminates the need to export your email to a folder.

You can automate most backup software so that backups happen at a time that is convenient without you having to lend a hand. You'll have to find time in your busy schedule to configure this type of software. However, you'll be no more busy doing the configuring as you would be if you need to replace an email that you needed.

5 Ways To Stop Spam From Reaching Your Mail Box

UCE or unsolicited commercial email is getting worse by the day and Microsoft has announced that in the future it will be developing a system in which email sending and receiving will be like our postal mail where a digital stamp has to be bought to send it. But until then marketers online will be continuing to send emails to potential customers in the hope of converting some of the leads that they buy into buying customers.

The internet arena of emailing is a murky one in which your email might be traded and sold in some internet networks which I have seen sell and trade in email contacts online. That is the reason why when you get one type of spam email, you tend to get more of the same type of email as your email has been sold to a large emailing list which is in turn sold to marketers to email to.

This article will highlight some ways in which spammers can get your email address and highlight ways to deal with them.

1. Non Cloaked emails on websites

This is actually one of the most easy way to get spam. I’ve talked to a system administrator in the office and she expressed surprise at not knowing about this. Most people start building a website on free webhosts and then add their email address at the bottom of the website. While this is good for website usability which is a separate topic altogether, it allows unscrupulous people to harvest your email address with powerful online website crawling programs. What these programs do is crawl websites and then classify them and sell the extracted leads to lead vendors. So if your website is about health, they might classify your extracted email address as a health lead and sell it to other marketers to email to you.

The simple solution to this problem is to do email cloaking. This is usually a simple script which breaks up your email into two parts when a robot on the internet crawls your website. But to the normal user who looks at it, the browser combines it together to show a normal email address. Do a simple google search for “email cloaking script” and you should be able to do this by copying the script into your website.

So then you prevent spam and at the same time allow people to continue to contact you.

Another simpler solution which may confound some of your website users who are not so internet savvy is just to do use /at/ instead of @. So for instance your email will read Abc/at/abc.com rather than abc@abc.com. However as mentioned, if your target audience is older and not so good with the internet, this may be a problem and prevent them from contacting you.

2. Spam via cookies or malicious code or programs

Spyware flooding your computer is a real problem. Most people do not really realize this until they find popups suddenly appearing when they reach some pages or find that their starting page has been high jacked by some website. When you visit a website like Yahoo and log in, a cookie is deposited into your computer browser to tell Yahoo that you have logged in to their system. These cookies have short life spans and self delete when you log out of the system.

However there are some websites that have cookies for the sole purpose of tracking all email sent into and out of your computer when the browser is on. It then tracks your name and email address and sends it secretly to a central server where it then sells you name and email address to email lists. Thus some people report an increase in spam after visiting certain websites and this may be the reason.

Another reason for spam can be attributed to malicious code which can possibly install itself into your browser without you knowing it and does the same thing as the cookies in the above example but on a longer term basis as the cookies would be deleted when you clear your cookies and cache in your browser. Some of this malicious code can even do keyword logging and send your passwords and bank IDs to the programmer who came up with the code!

The best solution to the problem is to download the Mozilla Firefox Internet browser which has a built in security system which prevents such malicious code from being installed into your web browser without your knowledge and allows you to clear your cache and cookies easily. I do this on a constant basis to prevent my email inbox from being filled with spam.

3. Spyware via free programs installed

Another reason why
there is an increase in spam is that there are third party spyware that is bundled with free software which is why the software is free in the first place because the spyware companies pay the programmer to bundle it with their software. Always look at the agreement before downloading any free wallpapers or free programs like weather programs as there could be a possibility that spyware could be bundled together with it and flood your email box with spam.

The best solution is to download Spyware Search and Destroy or Lavasoft’s Adaware anti-spyware programs to detect and clear any spyware from your computer. In addition, you might find that your computer might run faster when you are connected to the internet as the spyware does take up some bandwidth in its communication to the central server.

4. Random emails

Some of the more powerful email programs have the ability to flood servers with permutations of email addresses. This means that they can basically email anyone online because they have powerful computers which run software which blasts emails to all permutations and one of them may be yours.

The more legitimate marketers will have an opt out link at the bottom of the email so that you can actually opt out of the list. On the other hand, some of the real offshore spammers have servers in China and Russia so when you do click on the link to opt out, it actually confirms that your email address is working so ironically sometimes it is best to just delete spam rather than reply to it.

5. Free offers

Some spam in your inbox (not legally spam) may be from free offers. When you signup for some online service, there is thing called co-registration where they have many boxes for you to tick. Generally what this means is you are asking the online service to send your email address and name to an online marketer who is going to sell it to others to email to. While this is not spam as you have opted into it, it may become irritating after a while.

The better solution that I do personally is to create an email from Yahoo for the sole purpose of free offers so that I can let that email be flooded with spam. So you can get the free offer and not face the possibility of deleting 500 spam emails daily in your personal email inbox.

In conclusion, spam can be reduced if you are aware of the reasons and the ways in which online marketers and spammers can get your email. Taking an active step today to prevent them from getting your personal email is a great step forward to reducing the amount of spam you have in your inbox.

Are You A Spam Zombie?

Over the past few years you've all become familiar with the terms spam, spam filter, whitelists, blacklists and a whole myriad of other terminology associated with the problem of spam. You now have to add a new and extremely worrying phrase to that list - spam zombie.

With the net closing in around them spammers are looking for new and more inventive ways to send out their junk email. Spam filters and challenge response systems are becoming progressively more intelligent and blocking more spam each day. What was a spammer to do? The spammers took the next step - infiltrating your PC and using it as a spamming tool.

When most of you think of the word zombie you're reminded of old B movies with groaning zombies chasing the terrified actress through a castle, swamp or whatever low cost setting the movie revolved around. Spam zombies are, however, far more real and far more dangerous.

A spam zombie is when your computer is taken over by a type of virus called a Trojan. Once this Trojan virus is on your computer it sets up an SMTP (Simple Mail Transfer Protocol) application which allows it to begin sending email directly from your PC to tens of thousands of victims. This all happens invisibly in the background and can be difficult to detect for even the experienced computer user.

How do these Trojans get onto your computer? As in most cases they come from porn, warez or similar sites. One of the first spam zombie trojans to appear became available via a link on sites promising viewers free access to a porno webcam. One click later and the Trojan is installed on your computer ready to send out spam. Phatbot and Proxy-Guzu are two of the more common Trojans used for the purpose of turning your computer into a spam zombie.

How can you check if your computer has become a spam zombie? Make absolutely certain that both your anti-virus and firewall software have current detection signatures and have been completely patched and updated. Working online without taking these necessary security precautions is simply asking for trouble.

Internet Service Providers are under huge pressure to quarantine the IP address of any computer which has been turned into a spam zombie. This is done on the basis that the ISP risks their entire IP range being blacklisted or banned by some spam filtering services or companies.

The very least you owe yourself is to run a full virus and spyware scan on your computer today. You might be unpleasantly surprised at what you'll find lurking there.
